Position Summary The Office Manager / Executive Assistant (EA) to the CEO is a highly visible role responsible for providing comprehensive administrative, operational, and organizational support to the CEO. This position ensures smooth daily operations of the office, while also acting as a trusted gatekeeper, problem-solver, and project coordinator. The EA will handle both corporate and personal matters with discretion, ensuring the CEO’s time and focus remain on strategic priorities. Key Responsibilities Executive Support • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, preparing agendas, and coordinating travel arrangements. • Draft, review, and manage correspondence, presentations, reports, and communications on behalf of the CEO. • Serve as the primary point of contact between the CEO and internal/external stakeholders, exercising discretion and professionalism. • Coordinate meetings, prepare materials, and ensure timely distribution of agendas Office Management & Operational Support • Oversee daily office operations to ensure efficiency and a professional working environment. • Manage office vendors, supplies, equipment, and facilities needs including mail/shipping. • Develop and implement office policies and procedures to maintain organization and productivity. • Act as a central resource for staff on administrative processes and office-related matters. • Assist in tracking company initiatives, ensuring deadlines and deliverables are met. • Support research, data gathering, and preparation of reports for executive decision-making. • Manage confidential information with the highest level of integrity and discretion. Personal Support to CEO • Provide personal assistance as required, including scheduling personal appointments, coordinating household/vendor services, and handling personal travel. • Assist with personal events, family scheduling, and other ad-hoc personal matters as requested. • Ensure seamless balance and prioritization between corporate and personal commitments. Qualifications • Bachelor’s degree preferred; equivalent work experience considered. • 3+ years of experience supporting senior executives, with exposure to both executive assistant and office management responsibilities. • Exceptional organizational, time management, and multitasking skills. • Strong written and verbal communication skills. • Proven ability to maintain confidentiality and exercise discretion at all times. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams, Slack, etc.). • Professional presence with a service-oriented and proactive mindset. • Key Competencies • Discretion & Confidentiality – Handles sensitive information with absolute professionalism. • Problem-Solving – Anticipates needs and takes initiative to address challenges. • Adaptability – Flexible in balancing dynamic corporate and personal priorities. • Relationship Management – Builds trusted relationships with staff, management, partners, and vendors. • Attention to Detail – Consistently produces accurate and high-quality work.
