Overview
We are seeking a polished, highly organized, proactive, and detail-oriented Front Office Manager to support our growing, family-owned firm. This role serves as both the first point of contact for clients and the operational backbone of the office, ensuring smooth day-to-day operations, strong client service, and efficient administrative support for advisors and leadership. The ideal candidate thrives in a fast-paced environment, communicates effectively, and takes ownership of a wide range of administrative and office management responsibilities.
Responsibilities
Front Desk & Client Relations
• Serve as the first point of contact for clients and visitors, providing a welcoming and professional experience
• Manage the main phone line and respond to client inquiries via phone and email
• Handle incoming and outgoing mail and general office correspondence
Office Administration & Operations
• Maintain overall office efficiency and support day-to-day workflow and general office organization
• Coordinate facility needs and ensure office equipment is functioning properly
• Ensure compliance with company policies and industry regulations
Scheduling & Coordination
• Manage calendars, schedule meetings, and coordinate appointments
• Assist with travel arrangements and logistics for leadership
Records & Data Management
• Update and manage client records within CRM systems
• Support data entry and ensure accuracy of client information
• Execute general operational support, including scanning and faxing
Administrative Support
• Prepare, process, and maintain documents, applications, and reports with accuracy
• Maintain organized digital and physical filing systems
Qualifications
• Previous experience in an administrative, office management, or similar support role (financial services experience preferred)
• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Experience with CRM systems and/or accounting software
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to manage multiple priorities
• High attention to detail and a proactive, solution-oriented mindset
• Positive attitude and strong client service skills
• Professional, client-focused demeanor
Compensation & Benefits
• $40,000-$60,000/year
• 401(k)
