THE ROLE As Executive Assistant to the CEO, you will be the strategic right hand of the CEO — managing schedules, communications, client relationships, and day-to-day operations with precision, discretion, and professionalism. This is a high-visibility, high-impact role for a proactive, detail-oriented professional who thrives in a fast-paced, entrepreneurial environment. You'll work directly with Fortune 500 clients, vendors, and internal teams — serving as the CEO's trusted partner in managing a growing business in the branded merchandise and corporate gifting industry. WHAT YOU'LL DO ◆ Manage the CEO's calendar, scheduling, and travel arrangements — ensuring maximum efficiency and zero conflicts ◆ Serve as the primary point of contact between the CEO and clients, vendors, and internal teams ◆ Draft, proofread, and manage professional correspondence — emails, proposals, presentations, and reports ◆ Coordinate and manage client orders, purchase orders, and vendor communications on behalf of the CEO ◆ Maintain and organize CRM, project management tools (monday.com), and QuickBooks Online records ◆ Track outstanding invoices, follow up on payments, and liaise with the finance team ◆ Prepare meeting agendas, take notes, and follow up on action items after every meeting ◆ Research new vendors, products, and industry trends to support business development initiatives ◆ Coordinate shipping, fulfillment, and delivery logistics with vendors and carriers ◆ Support marketing campaigns, social media scheduling, and client outreach initiatives ◆ Handle confidential information with the utmost discretion and professionalism at all times ◆ Manage special projects and ad-hoc requests as needed — no task is too big or too small WHAT WE'RE LOOKING FOR ◆ 3+ years of experience as an Executive Assistant, Personal Assistant, or Administrative Manager supporting C-suite executives ◆ 2+ years of experience in the Promotional Product industry preferred ◆ Experience with ESP/ASI platforms and Commonsku preferred ◆ Exceptional organizational skills with the ability to manage multiple priorities simultaneously ◆ Outstanding written and verbal communication skills — you write clearly, concisely, and professionally ◆ High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace ◆ Experience with project management tools (monday.com, Asana, or similar) and CRM platforms ◆ Familiarity with QuickBooks Online (QBO) or similar accounting platforms is a strong plus ◆ Proactive problem-solver who anticipates needs before being asked ◆ Comfortable working in a fast-paced, entrepreneurial environment where priorities shift quickly ◆ Discretion and sound judgment when handling confidential business and client information ◆ Experience in promotional products, branded merchandise, or corporate gifting is a plus ◆ Bachelor's degree in Business Administration, Communications, or related field preferred ◆ Tech-savvy and adaptable — comfortable learning new tools and systems quickly COMPENSATION & BENEFITS ■ Competitive Salary Commensurate with experience.
